Customer Service Representative

Job Summary: 

We are looking for a friendly, organized, and dependable Customer Service Representative (CSR) to join our HVAC and Plumbing team. The CSR will be the first point of contact for our customers—scheduling service calls, answering inquiries, and ensuring a high level of customer satisfaction throughout the service process. 

This is a key role in keeping our operations running smoothly and our customers happy. 

Key Responsibilities: 

  • Answer incoming calls and respond to customer inquiries in a professional, courteous manner 
  • Schedule and coordinate service appointments for HVAC and plumbing technicians 
  • Communicate clearly with customers about service timelines, delays, or rescheduling needs 
  • Maintain accurate customer records, service history, and job notes in our system 
  • Follow up with customers after service to ensure satisfaction and gather feedback 
  • Work closely with the service and sales teams to manage workflow and customer expectations 
  • Process invoices, collect payments, and assist with billing questions 
  • Support team with general office tasks and special projects as needed 

Qualifications: 

  • High school diploma or GED required 
  • 1+ year of customer service experience (HVAC, plumbing, or service industry preferred) 
  • Strong communication and interpersonal skills 
  • Ability to multitask in a fast-paced environment 
  • Experience using scheduling or dispatching software (e.g., ServiceTitan, Housecall Pro, FieldEdge, etc.) is a plus 
  • Proficiency in Microsoft Office (Word, Excel, Outlook) 
  • Detail-oriented with strong organizational and time-management skills 
  • Positive attitude and team player mindset 

Preferred Qualifications: 

  • Bilingual (English/Spanish) a plus 
  • Familiarity with basic HVAC and plumbing terminology 
  • Experience working in a service or trades environment
